Roastery Hire Terms and Conditions

1. Parties
These terms and conditions govern the hire of roastery space and equipment operated by Coffee Roasting Services Limited (trading as Common) ("Common", "we", "us") to the person or entity making a booking ("the Hirer", "you").
By completing a booking, the Hirer agrees to be bound by these terms and conditions in full.
2. Eligibility
By making a booking, the Hirer confirms that they:
Are aged 18 years or older.
Have completed a Common onboarding session prior to any standard roastery hire or 1:1 training session.
Have read and understood these terms and conditions.
3. Bookings
All bookings are made through Common's online booking system (Acuity Scheduling) and are subject to availability.
A booking is confirmed only upon receipt of full payment at the time of booking.
Common reserves the right to decline or cancel any booking at its discretion, with a full refund issued in the event of cancellation by Common.
4. Cancellations and Refunds
The Hirer must provide a minimum of 24 hours notice to cancel a booking.
Cancellations made with at least 24 hours notice will receive a full refund.
Cancellations made with less than 24 hours notice will not be eligible for a refund.
No-shows will be treated as a late cancellation and will not be eligible for a refund.
Common reserves the right to make exceptions at its discretion in the case of genuine emergency.
5. Use of the Space and Equipment
The Hirer and any guests must comply with all instructions given by Common staff at all times.
The roaster and sample roaster must not be operated without a Common roaster present on site.
The Hirer is responsible for leaving the space in the same condition as it was found at the start of the session.
The Hirer must not use any equipment in a manner inconsistent with the training provided during onboarding.
Minimum age for all persons on site is 18 years.
6. Guests and Additional Attendees
The Hirer may bring up to three additional people into the roastery during a session.
Any additional person who intends to operate roastery equipment must have completed a Common onboarding session prior to the booking.
Any additional person attending in an observational capacity only must complete a safety onboarding with Common staff before entering the roastery space.
The Hirer is responsible for the conduct of all guests during the session.
7. Equipment Damage
Normal wear and tear of roastery equipment is covered by Common.
The Hirer is liable for the full cost of repair or replacement of any equipment damaged as a result of improper, negligent, or irresponsible use during their session.
Common will provide written notice of any damage claim, including a breakdown of repair or replacement costs, within five business days of the session.
The Hirer agrees to pay any assessed damage costs within 14 days of receiving written notice.
8. Health and Safety
The Hirer and all guests must comply with Common's Health and Safety Policy at all times. A copy of this policy is available on request and is provided during onboarding.
The Hirer must immediately report any accidents, incidents, or near misses to Common staff.
Common reserves the right to end a session immediately if health and safety requirements are not being met, without refund.
9. Green Beans and Materials
Common provides green beans for hire sessions at wholesale pricing. Details of available origins and pricing are available on request.
Hirers wishing to bring their own green beans must notify Common in advance via the booking intake form.
Common reserves the right to decline the use of third-party materials at its discretion.
10. Intellectual Property
Any training materials, resources, or documentation produced by Common remain the intellectual property of Coffee Roasting Services Limited.
Hirers must not reproduce, distribute, or share Common training materials without prior written consent.
11. Confidentiality
Common will keep all information provided by the Hirer, including roast profiles, volumes, and blend specifications, strictly confidential.
Common will not share Hirer information with third parties without prior written consent, except where required by law.
12. Liability
Common takes reasonable steps to maintain equipment in safe working order. To the fullest extent permitted by New Zealand law, Common is not liable for any loss, damage, or injury arising from the use of the roastery space or equipment, except where caused by Common's own negligence.
The Hirer participates in roastery hire at their own risk.
Nothing in these terms limits any rights the Hirer may have under the Consumer Guarantees Act 1993 or the Fair Trading Act 1986.
13. Governing Law
These terms and conditions are governed by the laws of New Zealand. Any disputes arising under these terms will be subject to the exclusive jurisdiction of the New Zealand courts.
14. Changes to These Terms
Common reserves the right to update these terms and conditions at any time. The version in effect at the time of booking applies to that booking.
