Health and Safety Policy

1. Purpose

This policy sets out the health and safety obligations and expectations for all staff, roastery hirers, trainees, and visitors at the Common roastery, operated by Coffee Roasting Services Limited in Auckland, New Zealand.

Common is committed to providing a safe working environment for everyone who enters the roastery. Health and safety is a shared responsibility between Common staff and everyone who uses the space. Common will eliminate risks to health and safety so far as is reasonably practicable. Where elimination is not reasonably practicable, risks will be minimised so far as is reasonably practicable.


2. Scope

This policy applies to:

  • All Common staff and contractors.

  • All roastery hirers and their guests.

  • All training participants.

  • All visitors to the roastery site.


3. Responsibilities

Common's responsibilities

  • Maintain all equipment in safe working order and conduct regular inspections.

  • Maintain a hazard register identifying all known hazards and the control measures in place. This register will be reviewed regularly and updated following any incident or change to the work environment.

  • Ensure all hirers and participants complete an onboarding session before using roastery equipment.

  • Ensure a qualified Common roaster is present on site during all roastery hire and training sessions.

  • Provide safety onboarding to any observer entering the roastery space.

  • Provide all necessary personal protective equipment (PPE) to workers and hirers at no cost where required to manage health and safety risks.

  • Maintain a first aid kit on site at all times.

  • Maintain a record of all accidents, incidents, and near misses.

  • Engage with workers (including Chris Kastner as head roaster) on health and safety matters that may directly affect them, and provide reasonable opportunities to contribute to improving health and safety at Common.

  • Review and update this policy annually or following any significant incident.


Hirer and visitor responsibilities

  • Follow all instructions given by Common staff at all times.

  • Complete onboarding before operating any roastery equipment.

  • Report any hazards, accidents, incidents, or near misses to Common staff immediately.

  • Not operate any equipment while impaired.

  • Not bring minors onto the roastery site. Minimum age is 18 years.

  • Leave the space in a safe and clean condition at the end of each session.

  • Exercise their right to stop or refuse work they believe is unsafe, and raise any safety concerns with Common staff immediately.


4. Hierarchy of Controls

When managing risks, Common will apply the following hierarchy of controls in order of preference:

  1. Eliminate the risk entirely.

  2. Substitute with a less hazardous alternative.

  3. Isolate the hazard from people.

  4. Use engineering controls to reduce the risk.

  5. Use administrative controls such as procedures and training.

  6. Use personal protective equipment (PPE) as a last resort.

PPE is considered the least effective control measure and will not be relied upon as the primary means of managing risk.


5. Hazard Register

Common maintains a separate hazard register documenting all identified hazards in the roastery, the likelihood and consequence of each hazard, the control measures in place, and the person responsible for managing each hazard. The hazard register is a living document and is reviewed following any incident, near miss, or change to the work environment. It is available to all staff and hirers on request.


6. Hazards and Controls

Heat and burns

  • The Probat P25 II roaster and sample roaster operate at high temperatures. Do not touch roaster surfaces without appropriate protection.

  • Allow roasted beans to cool adequately before handling.

  • Heat-resistant gloves are provided on site at no cost and must be used when handling hot equipment.


Noise

  • Roasting equipment generates significant noise. Hearing protection is provided on site at no cost and is recommended during extended roasting sessions.


Dust and chaff

  • Coffee chaff is produced during roasting and can be a fire and respiratory hazard. The roastery is ventilated, but hirers should avoid unnecessary accumulation of chaff and clean up after each session.

  • Those with respiratory sensitivities should inform Common staff before their session.


Manual handling

  • Green bean sacks can be heavy. Use trolleys provided when moving sacks. Use correct manual handling techniques and ask for assistance if needed.


Slips, trips, and falls

  • Keep walkways clear at all times.

  • Clean up any spills immediately.

  • The loft space is not wheelchair accessible. Take care on the stairs.


Fire

  • Familiarise yourself with the location of fire extinguishers and emergency exits at the start of each session. Common staff will point these out during onboarding.

  • Do not leave the roaster unattended while in operation.

  • In the event of a fire, evacuate immediately and call 111.


Electrical

  • Do not tamper with or attempt to repair any electrical equipment.

  • Report any damaged cables, plugs, or equipment to Common staff immediately.


7. Emergency Procedures

In the event of an emergency

  1. Ensure your own safety first.

  2. Alert Common staff immediately.

  3. Call 111 if required.

  4. Evacuate the building if instructed to do so.

  5. Assemble at the designated assembly point outside the building.

  6. Do not re-enter the building until instructed by emergency services.


First aid

  • A first aid kit is located on site. Common staff will show you its location during onboarding.

  • In the event of a serious injury, call 111 immediately.

  • All accidents and injuries must be recorded in Common's incident register.


8. Incident Reporting and Notification

All accidents, incidents, and near misses must be reported to Common staff immediately and recorded in Common's incident register. Common will investigate all incidents and implement corrective actions where required.


Notifiable events must be reported to WorkSafe New Zealand as follows:

  • Deaths and serious injuries requiring immediate hospital admission must be reported to WorkSafe as soon as possible after becoming aware of the event.

  • Written notification must be provided to WorkSafe within seven days of the notifiable event.

  • The workplace must not be disturbed following a notifiable event without WorkSafe's consent, except to assist an injured person, remove a deceased person, or make the site safe.


Notifiable events include deaths, injuries requiring hospital admission as an inpatient, and dangerous incidents that could have caused serious injury or death. Common will seek advice from WorkSafe or a qualified health and safety advisor if uncertain whether an event is notifiable.


9. Right to Stop Unsafe Work

Any worker or hirer may stop or refuse to carry out work if they reasonably believe it would expose them or others to a serious risk to their health or safety. Common will not take any adverse action against a person who exercises this right in good faith. Any concerns about unsafe work should be raised with Common staff immediately.


10. Worker Participation

Common is committed to engaging with workers on health and safety matters. Chris Kastner, as head roaster and Common's sole employee, will be consulted on health and safety decisions that may directly affect him, and will have reasonable opportunities to contribute to improving health and safety at the roastery. Health and safety will be a standing agenda item in regular team check-ins.


11. Alcohol and Drugs

No person may operate roastery equipment while under the influence of alcohol or drugs. Common reserves the right to end a session immediately and without refund if this requirement is not met.


12. Review

This policy will be reviewed annually or following any significant incident or change to the work environment. The review date and version number will be updated accordingly. Common staff are responsible for ensuring this policy is current and accessible to all hirers and visitors.


13. Legislation

This policy has been developed in accordance with the Health and Safety at Work Act 2015 (New Zealand) and the Health and Safety at Work (General Risk and Workplace Management) Regulations 2016. Common will monitor any changes arising from the current reform of the Health and Safety at Work Act and update this policy accordingly.
